Technical FAQ for IDRC Doctoral Research Awards 2017

Note: IDRC’s online application system is managed by an external supplier, FluidWare. The product used for the online application is FluidReview.

Questions 

1. Where do I find the online application form?

2. When preparing my IDRA application, do I have to complete the entire application at once or can I complete some sections, upload some documents, save them, and continue later?

3. I have a technical problem with my online application? Whom should I contact?

4. My professor has not received my invitation to submit the Reference Form. What should I do?

5. One of my professors has not been able to complete the Reference Form on time. Consequently, I have not been able to hit the “Submit Button” by the deadline. Can the Reference Form still be uploaded to my application and submitted after the deadline?

6. I have not been able to submit my last document and hit the “Submit Button” to apply for an IDRA. Can I send you my last document by email? Will you accept my late application?

7. I was working on the system close to the deadline when the system suddenly shut down. What can I do?

 

1. Where do I find the online application form?

To apply, you will click the online link also available in the IDRA call page. It will take you to the FluidReview system. Create an account. After you complete the sign-up process, you will need to complete the Eligibility Questionnaire. If you are eligible, the system will give you access to the full application.

2. When preparing my IDRA application, do I have to complete the entire application at once or can I complete some sections, upload some documents, save them, and continue later?

The online application takes time to complete. The system allows you to work at your own pace. You can upload one document at a time, save, and continue later. The Application Form contains many pages and can be completed gradually. Please make sure to complete and submit your application by hitting the “Submit Button” at least one or two days before the deadline. Past experience has shown that applications submitted on the day of the deadline often encounter delays or technical difficulties because of the volume of submissions.

3. I have a technical problem with my online application? Whom should I contact?

Contact awards@idrc.ca to alert us about the problem. We want to be aware of the technical issues that candidates encounter and we will try to address them. Support is available during working hours EST. No support is available at IDRC during weekends and Canadian statutory holidays. Please note that we cannot guarantee we will be able to respond to technical issues arising during the last two days before the deadline.

4. My professor has not received my invitation to submit the Reference Form. What should I do?

The invitation will come from “IDRC Awards Competition”. Note that the notification message does not include the candidate’s name. Sometimes, the invitation notification goes directly to the professor’s junk mail folder. Please advise your professors of this possibility.

Your professors should ask an IT technician at their university for assistance if they have problems retrieving the invitation. You should also inform your professors that the link giving access to the Reference Form sometime indicates that this is an “insecure site and that you should not continue”. The site is secure and this message may be generated by the university’s Anti-Virus Anti-Spam filtering system. Universities should have their IT departments add fluidware.com and fluidreview.com to their “trusted” domains in their anti-spam filters.

5. One of my professors has not been able to complete the Reference Form on time. Consequently, I have not been able to hit the “Submit Button” by the deadline. Can the Reference Form still be uploaded to my application and submitted after the deadline?

Each candidate is responsible for starting their online application several weeks before the deadline to ensure that you have adequate time to fulfill all the requirements. This includes allowing professors sufficient time to reply to the invitation and to solve (with the help of IDRC or FluidWare) any technical problems that may arise. Professors will not be able to submit Reference Forms after the deadline. If they wait until the last day to submit the form, there is a risk that it may be delayed because of the high volume of applications being processed. If the Reference Forms have not been completed, candidates will not be able to submit their application.

6. I have not been able to submit my last document and hit the “Submit Button” to apply for an IDRA. Can I send you my last document by email? Will you accept my late application?

No. We are unable to accept your last document by email or to accept your late application. It is the candidate’s responsibility to begin and complete the process in a timely manner and to submit before the deadline.

7. I was working on the system close to the deadline when the system suddenly shut down. What can I do?

The system shuts down at the exact deadline time indicated in the IDRA call page. There is no grace period. The system will not allow you to save what you wrote past the deadline. We invite you to apply for the next Call: check the IDRC Graduate Student Awards page regularly for dates.
